Crossing $250k is where the first paid tools earn their keep, and the range is honest about the choice: the core stack (CRM and giving platform on one bill, plus forms) runs about $3,000 a year, and adding both optional software lines (grant research, the event package) takes it to roughly $14,800. Why these picks

Donor CRM + donation processing: one line, two options. At this size the honest move is to stop buying the database and the giving pages separately.

Grant research: Instrumentl ($299/mo), optional until grants are a program. The biggest line and the easiest to test. Instrumentl earns its price when prospecting is a recurring monthly job: the matching finds funders you would not, and the pipeline keeps deadlines from slipping between two people. Forms and operations: Jotform ($0 to about $17/mo). Same tool as the free stack, doing more work: event registration, volunteer intake, program applications, and any form that needs to take a payment. The nonprofit discount halves the paid tier when the free plan’s limits arrive.

Wealth screening: not software. At this size the recommendation is a consultant-run screen instead of a subscription, for the reasons set out below the ledger.

Events: Greater Giving (~$3,000-$8,000, quoted). Optional for most nonprofits at this size, the benchmark shows most of your peers spending nothing here. It earns the line only if your gala is genuinely an auction, not a dinner with a raffle: Greater Giving sells the whole night as a package, mobile bidding and check-in and payment hardware together. Get the quote early in your event cycle, and ask what is hardware versus rental. If the event is modest, run it on your registration forms for another year.

When you’ve outgrown this stack

Move up to the Established stack when major-gift work starts in earnest and screening needs to run more than once, when your CRM’s reporting stops answering board questions, or when grant volume needs more seats in the pipeline than one person.
